This step by step tutorial will explain how to configure local backup and schedule future backups in QuickBooks. The QuickBooks backup file will have a .qbb filename extension, rather than a .qbw extension. To use the backup feature, you need to be in Single-user Mode.
Click File -> Switch to Single User Mode and then login again. Switch back to Multi-user Mode when you have done with backing up company file.
Backup QuickBooks Company File
Click File -> Save Copy or Backup
A new window will open. Select Backup Copy and click Next
Select Local Backups and then click Options button to configure backup
Here, you will choose the path where to save backup file. Check the box ‘Add the date and time of the backup to the file name’ and select option ‘Complete Verification’. It will check and verify the file after completing backup.
Here you have to select one of the three options.
- Save it now: It will just take the current backup of your company file and that’s it.
- Save it now and schedule future backups: It will save the current backup as well as schedule the future backups
- Only schedule future backups: It will only schedule future backups without taking current backup.
We choose the second option which is more suitable.
Check the box ‘Save backup copy automatically when I chose my company file’ and enter a number next to times to schedule a backup each time you close QuickBooks. Click the ‘New‘ button to schedule the regular backup of your company file.
Schedule Backup window will open. Give description of the backup job ‘Remote Backup’.
Browse the location where you want to save the backup copy of your company file.
How many number of backup copies you want to save on the selected location? Check the box and type the number in the box.
Select the time when this backup job should be started and days of week.
If you want to protect backup file with password then click the button ‘Store Password’ and type a strong password to keep your files protected. Click OK. A current backup will be saved once you complete this process.
